Founded in 1983, Saturday Academy (SA) is a nonprofit educational organization that helps thousands of youth experience hands-on learning with community experts in a way that enriches young lives and develops a life-long curiosity and passion for learning. Saturday Academy offers classes, summer camps, and afterschool programs throughout the Portland Metropolitan area (grades k-12) as well as a state-wide high school internship program placing students in some of Oregon’s most well-known businesses. We inspire children to pursue their curiosity, but concentrate our programming on topics in science, technology, engineering, arts and math. POSITION OVERVIEW:
Saturday Academy is looking for individuals who have a passion for supporting STEAM-based educational experiences, and who have a passion for children in Grades K-8. As the Summer Administrative Assistant, your responsibilities will include supporting the SA team in running the administrative side of summer programming. This will include providing support with check-in and check-out, functioning as a first point of contact for summer programming to parents and key stakeholders, maintaining the summer camp roster database, prep and distributing supplies for camps, and supporting student needs as they arise. This position supports strong workflow systems, tech prep, database support, and other operational concerns as they arise over the summer. This is a people-facing position that values the details it takes to create a special summer experience in a fast-paced work environment. This position is managed by the Summer Camp Program Manager and the SA Operations Manager.
PRIMARY RESPONSIBILITIES INCLUDE:
- Functions as a primary communication hub for staff, students, and parents alike.
- Distributes critical parent communication throughout the week, ensuring top-notch customer service.
- Supporting the Operations Manager in communications and the workflow surrounding scholarship awarding as needed.
- Facilitates check-in and/or check-out for each day of summer camp.
- Ensures set-up, supply distribution, and strong supervisory support of all administrative processes throughout the camp day. Responsible for supply inventory and maintenance.
- Maintains database projects and stewards research initiatives as assigned as they relate to a variety of departments.
- Provide supportive and compassionate group management strategies throughout programming while supporting individual needs.
*Creates and maintains all necessary administrative tools for processing student registration.
*Addresses all general inquiries as they relate to summer camp programming. - Maintain high levels of engagement throughout the day.
- Provide for the well-being and safety of campers by meeting physical and emotional needs in compliance with the state and organization’s policies.
- File and organize internal systems and work on long-term research projects for the organization.
- Visit and collect packages from the mailroom.
- Manage summer supply inventory.Administer surveys and process summer close-out data.Support transition times, and student one-on-one needs as they arise, and supervise youth as assigned.

DESIRED SKILLS OR EXPERIENCE:
- Previous experience in an administrative setting managing multiple tasks for prioritization.
- Previous experience in youth learning environments, childcare or babysitting multiple children in Grades K-8.
- Passionate commitment to the transformative power of hands-on learning.
- Experience working with diverse populations in childcare, in-school or out-of-school setting.
- Positively supports inclusion in all forms: ethnic, gender, gender identity, religious/spiritual affiliations, disabilities, political perspectives, etc.
- Competency in tech spaces such as software support and GSuite.
- Understanding of Windows and Apple Operating Systems.

- Up to date on all Federally Recommended Vaccinations, including COVID-19.
- Possess reliable transportation or means of transport to join us on-site at The University of Portland.
- Be able to lift 30 lbs unassisted.
- Thrives in working environments that may present interruption and can handle co-working spaces with loud noises.
